MISSION

Prevention and control of HIV/AIDS in Pakistan

Job Purpose

The Pakistan National AIDS Consortium (PNAC) is a network of 5 provincial/regional NGO networks throughout Pakistan. PNAC was founded in 2000 and is constituted of the Punjab AIDS Consortium (PAC), the Sindh NGOs Network on HIV/AIDS (SNNHA), the Balochistan AIDS Network (BAN), the Northwest Frontier Province AIDS Consortium (NAC), and the Northern Areas AIDS Control Consortium (NAACC).

Each provincial/regional consortium/network was established in order to facilitate cooperation, collaboration, and communication between and among non governmental organisations in Pakistan that work to try to prevent the spread of HIV and/or to provide care or treatment for people living with HIV/AIDS. PNAC does not currently have members, but instead represents the provincial/regional consortia at the national level. PNAC also provides support and services, through a professional staff, to provincial NGO consortia and their members

The role of Intern - Administration includes assisting in the day to day office management for PNAC in Islamabad

The Intern – Administration reports to the Admin Officer.

Main Responsibilities

With support from the Secretary/Administrative Assistant, the intern will:

Become familiar with the purpose, goals, procedures and work of PNAC and its implementing partners
Answer the telephones and transfer calls or take messages in an efficient manner.
Attend visitors and provide information to the public
Send and receive faxes; make photocopies.
Take dictations, type and distribute letters, memos, faxes and other documents.
Translate English to Urdu and vice versa. Occasionally serve as interpreter as needed.
Coordinate with courier service to ensure that mail is sent out promptly and dispatch register is maintained.
Maintain administrative files according to internal filing system
Sort incoming mail and distribute to relevant staff with care.
Conduct product/vendor research, liaise with suppliers/vendors, and draft tenders, prepare bids’ comparisons, purchase orders etc.
Create and maintain the PNAC Contact List
Provide logistical support for meetings/conferences
Assist with the setting up of internal administrative systems and assist in stationery inventory.
Process and organise job applications
Assist staff members as appropriate in given tasks;
Actively be involved in other PNAC activities and perform other duties as required.

In Addition:

Undertake local and/or national business travel, as required.
Undertake any other activity that contributes to the smooth running and development of PNAC.
